How to Edit Time and Expense Entries
Make changes to your timesheet or expenses, or someone else’s if you’re an administrator. Administrators can also edit locked time entries.
How to Edit Unlocked Time and Expenses
All users can edit or delete unlocked time and expense entries. Administrators can edit another employee’s time or expenses by clicking the Admin: See (timesheet/expenses) for another user link in the upper right-hand corner of the timesheet.
To edit or delete an unlocked time or expense entry:
- Go to Timesheets > Time or Timesheets > Expenses. Hover your mouse over a time or expense entry. An Edit and X will appear.
- Click Edit to open the entry, or X to permanently delete it. If your timesheet is in Week view, deleting a line of your timesheet will delete all entries for the week for that project/task.
- Make your changes, and Save.
If your timesheet is in Week view, you can edit your timesheet only if you have your timestamp set to Track time via duration.
- If your timesheet is blank in Week view, you will not see the X at the end of a row to delete it. Start to fill out the timesheet for the X’s to appear.
How to Edit Locked Time and Expenses
Administrators can edit or delete locked time and expenses. Project managers and regular users can not edit locked time and expenses.
Editing locked time and expenses is not available in Week view, even if your timestamp is set to Track via duration.
Editing Locked Time or Expenses
- Go to Timesheets > Time, Day View or Timesheets > Expenses. Hover your mouse over a locked time or expense entry. An Edit and X will appear.
- Click Edit to open the entry. You will see a message about why the time or expense is locked.
- You can only edit the duration or start and end times, notes, and receipts (for expenses) for locked entries. Make your changes, and Save.
Deleting Locked Time or Expenses
- Go to Timesheets > Time, Day View or Timesheets > Expenses. Hover your mouse over a locked time or expense entry. An Edit and X will appear.
- Click the X. You will see a confirmation message about deleting the entry.
- Click OK. There will be a 5 second countdown until the time or expense entry will be permanently deleted.
What Happens When You Edit Locked Time and Expenses
Editing and deleting locked time and expenses will only update that timesheet. Editing and deleting WILL NOT:
- Update any invoices that a time or expense entry is associated with. Changes to an invoice must be made separately.
- Time entries will link to the invoice, unless the time entry was Marked as invoiced from Reports > Detailed Time.
- Expense entries will only show a link to the invoice if they were invoiced as detailed line items.
- Notify the project manager or timesheet owner of any changes.
Since locking limits the fields which you can edit, it might be necessary to unlock a timesheet in order to make the changes you need to make. For more information on this, check out our guide to unlocking timesheets.
