Essential Elements of a Nonprofit Invoice
A robust nonprofit invoice serves as both a formal payment request and a crucial record for compliance and transparency. Key components include your organization's name, address, contact information, and tax identification number (EIN). Each invoice needs a unique identifier (invoice number) and the date of issue. Crucially, it must detail the recipient's information, including their name and contact details. For donations, clearly state the amount of cash or provide a description of non-cash contributions, but generally avoid assigning a monetary value to non-cash gifts on the receipt itself, as the donor is responsible for valuation. If any goods or services were provided in exchange for a donation, their fair market value must be disclosed, and the donor informed that only the amount exceeding this value is tax-deductible. Nonprofits must adhere to Generally Accepted Accounting Principles (GAAP) for accurate financial reporting, which includes separating restricted versus unrestricted funds.
