Key Features of a Compliant Invoice Template
To ensure your invoice template is compliant in the Philippines, it must adhere to specific Bureau of Internal Revenue (BIR) requirements. As of 2025, the "Sales Invoice" is the primary document for both goods and services, replacing the previous dual system of receipts and invoices for services. An essential compliant template includes your business's registered name, address, Taxpayer Identification Number (TIN), and 4-digit branch code. It must clearly state whether your business is VAT or Non-VAT registered. Key fields for tax compliance include the transaction date, a unique sequential serial number, detailed descriptions of goods or services, quantity, unit cost, and total cost. For VAT-registered businesses, the total amount due must be inclusive of the 12% VAT, with the VAT amount shown as a separate line item. If the sale is ₱1,000 or more to a VAT-registered person, the buyer's name, address, and TIN are mandatory. Non-VAT invoices must prominently display the phrase "THIS DOCUMENT IS NOT VALID FOR CLAIM OF INPUT TAX". Additionally, your invoice should include your BIR Authority to Print (ATP) details.
