Essential Fields for Thai Invoice Compliance

To ensure your Thai invoices are compliant, they must include specific mandatory information as stipulated by the Revenue Department. Every full format tax invoice needs to prominently display the words "Tax Invoice". Key details required are the seller's and buyer's full names, addresses, and their respective Tax Identification Numbers (TINs). For businesses, the TIN is a 13-digit number. Additionally, you must specify whether the entity is a Head Office or a Branch, including the 4 or 5-digit Branch ID (with "0000" or "00000" typically representing the head office). The invoice must also clearly state the issue date, a unique serial number, a detailed description of goods or services (quantity, unit price, and total value), and the Value Added Tax (VAT) amount, separated from the goods/services value. While not strictly mandated as "DD/MM/YYYY", using a consistent date format is crucial for clarity and record-keeping.

Customizing Your Invoice Template for Thai Business Needs

Customizing your invoice template for Thai operations involves adapting it to your specific business model while strictly adhering to compliance requirements. Start by accurately populating the mandatory fields for both your company and your customers, including Tax IDs and Branch IDs. For businesses with an annual turnover exceeding 1.8 million Thai Baht, VAT registration is compulsory, necessitating the issuance of tax invoices. Smaller enterprises, with annual revenues under 30 million Thai Baht, have the flexibility to utilize the e-Tax Invoice by Email system, which supports simpler formats like Word, Excel, or PDF, provided they meet other criteria. While invoices are typically in Thai language and currency, with Thai or Arabic numerals, issuing them in a foreign language or currency is permissible with prior approval from the Director-General of the Revenue Department.

Managing VAT on Thai Invoices

Effectively managing VAT on Thai invoices requires clear presentation and adherence to specific reporting structures, especially for varied transactions. The current general VAT rate in Thailand is 7%. It is imperative that the VAT amount is always shown separately from the value of the goods or services provided on the invoice. For businesses dealing with diverse products or services that may fall under different tax classifications, your template should accommodate multiple tax codes. When a transaction involves several items with varying tax codes, a dedicated VAT Summary section becomes essential. This summary should clearly list each tax code used, its corresponding rate, the subtotal (amount excluding tax), the calculated tax amount, and the total amount inclusive of tax for each code. If transactions are in a foreign currency, the VAT summary will typically display amounts converted to the base currency, Thai Baht.
